Shirebrook 'B' Band Constitution
1. Name
The name of the organisation is Shirebrook Miners Welfare B Band
2. Vision and Objectives
The core purposes of the Band are:
• Tradition: To sustain, protect, and advance the heritage of brass band music within our local community.
• Youth Development: To actively encourage, teach, and mentor young players, ensuring the continuity of the brass banding tradition in our area.
• Community Support: To raise funds and awareness for local charitable causes, through public performances.
• Inclusivity: To provide an affordable, welcoming, and safe environment for brass players of all ages, backgrounds, and skill levels.
3. Membership
• Eligibility: Membership is open to any brass or percussion player, regardless of age, who agrees to abide by this Constitution and the Band’s Code of Conduct.
• Categories: Membership shall consist of Adult Members (aged 18 and over) and Youth Members (under the age of 18).
• Subscriptions: Members are not required to pays subscriptions.
4. Committee and Governance
The Band is managed by a small members committee elected annually at the AGM.
• Officers: The committee includes a Chairperson, Secretary, Treasurer, and a designated Safeguarding Officer.
• Meetings: The committee shall meet at least four times a year to manage band finances, bookings, asset maintenance, and policy reviews.
• Quorum: A minimum of three committee members, including at least two officers, must be present to pass any financial or policy decisions.
5. Safeguarding
The Band is committed to ensuring a safe, positive, and secure environment for all youth members and vulnerable adults.
• Policy: The Band will maintain and enforce a standalone Safeguarding Policy that aligns with current national regulations and Brass Bands England (BBE) guidelines.
• Vetting: All committee members, tutors, conductors, and adults in regular supervisory contact with youth members must undergo enhanced Disclosure and Barring Service (DBS) checks.
• Reporting: The Safeguarding Officer is the primary point of contact for any concerns regarding the well-being of young players. All disclosures or suspicions of harm will be recorded and reported to local authorities immediately. Helen Morrell 07989 265508
• Supervision: No adult member shall be left alone in a private space with a youth member. Parents or guardians are responsible for transit to and from rehearsals and engagements.
6. Finance and Community Fundraising
• Banking: All band funds shall be held in a dedicated bank account in the name of the Band.
• Signatories: Financial transactions require authorization from two designated committee officers (typically the Treasurer and Chairperson).
• Accounts: The Treasurer will maintain transparent accounting records, to be presented for independent review annually.
• Charitable Giving: In alignment with our vision, a designated percentage of proceeds from specific community concerts—or the entirety of bucket collections at local events—will be ring-fenced and donated directly to registered local causes and charities.
7. Insurance
• Requirement: The Band shall maintain comprehensive Public Liability Insurance and Employers' Liability Insurance (where applicable) to cover all rehearsals, concerts, and official band activities.
• Asset Protection: The committee shall ensure that band-owned instruments, uniforms, sheet music, and equipment are insured against loss, theft, and damage.
8. Dissolution
• Assets: In the event of dissolution, all remaining funds, instruments, and music library assets shall not be distributed among members. Instead, they will be transferred to another community brass band, youth music trust, or local charity within the Midlands area, to be decided by the outgoing committee.
